The Export Operations Coordinator is responsible for supporting the management team of the Subsidiary Operations Management Department in:
- Executing export activities for Vinamilk’s subsidiaries and affiliated companies in international markets.
- Ensuring export shipments and documentation comply with international regulations and standards.
- Supplying products in full and with required quality standards to subsidiaries and affiliates while building strong business relationships.
- Supporting trade promotion and commercial activities effectively.
The role contributes to achieving company objectives in revenue growth, profitability, supply chain expansion, and global brand enhancement.
1. Receive, Coordinate, and Execute Export Orders
- Receive and process requests from subsidiaries.
- Prepare production and delivery plans.
- Coordinate customs clearance procedures.
- Prepare export documentation and handle ad-hoc requirements to support shipment clearance.
2. Ensure Compliance with Government Regulations
- Continuously update and ensure compliance with all applicable import-export regulations issued by government authorities.
- Ensure compliance with quarantine, certification, and quality inspection requirements for export products.
- Build and maintain relationships with relevant authorities to stay informed of regulatory changes and resolve arising issues efficiently.
3. Ensure Compliance with International Regulations
- Stay updated on export requirements and product standards in assigned markets.
- Work closely with the R&D team to adjust product formulas, packaging, and labeling when required.
- Recommend solutions for commercial disputes and customer complaints.
- Coordinate with relevant departments to address issues through corrective actions, compensation negotiations, replacement shipments, or insurance claims management.
4. Maintain Strong Relationships with Subsidiaries and Affiliates
- Build and maintain strong relationships with subsidiaries and affiliated companies.
- Provide regular updates regarding order status and business activities.
- Conduct annual customer satisfaction and service quality assessments.
5. Support New Product Development and Trade Marketing Activities
- Collaborate with subsidiaries, affiliates, and Vinamilk departments to develop product formulations, packaging, and export materials that align with market needs and local cultures.
- Conduct market research and participate in trade promotion activities as assigned by management.
6. Export Information Management
- Track, maintain, and consolidate export-related data and reports.
- Perform additional duties within the Subsidiary Operations Management Department as assigned by management.
Job Requirements
Education
- Bachelor's degree in: International Trade, International Business, Import-Export Management Or other related fields.
Experience
- Minimum 1 year of experience in a similar International Business or Export Operations role within import-export companies.
Professional Knowledge & Skills
- Knowledge of international trade operations, including: Import-export laws and regulations, Incoterms, International payment methods, Certificates of Origin (C/O)
- Understanding of international quality standards such as: FSSC, ISO, Halal & Food safety regulations in export markets
- Strong English communication and document reading skills. A third language is an advantage.
- Proficient in Microsoft Office applications.
- Strong presentation, reporting, and data analysis skills.
- Negotiation and influencing skills.
- Strong interpersonal and teamwork skills.
